Terms of Service
Last Updated: August 13, 2025
Welcome to PatchPost! PatchPost (also known as "ChangelogSync") is a multi-tenant, bi-directional changelog management system for Discord communities and developers. It is provided by NexCore ("we," "us," or "our"), a UK-based sole proprietorship. These Terms of Service ("Terms") govern your access to and use of the PatchPost ecosystem, including the PatchPost web dashboard, Discord bot, public APIs, and any related services or sites (collectively, the "Service"). By accessing or using the Service in any way, you agree to be bound by these Terms. If you do not agree with these Terms, do not use the Service.
1. Eligibility and Account Requirements
- Minimum Age: You must be at least 13 years old (or the minimum age required by Discord’s Terms of Service, if higher in your jurisdiction) to use PatchPost. By using our Service, you affirm that you are old enough and legally capable of entering into these Terms.
- Discord Account: PatchPost uses Discord for authentication. You must have a valid Discord account in good standing to use PatchPost. When you log in via Discord OAuth2, you grant us access to certain Discord account information (as detailed in our Privacy Policy) to verify your identity and permissions.
- Guild Permissions: The Service is intended for Discord server owners and authorized administrators. By using PatchPost for a Discord server (guild), you confirm that you have the necessary rights or permissions in that guild (e.g. administrator or manage channels permission) to manage changelogs on its behalf. If you are using PatchPost on behalf of an organization or community, you represent that you have authority to bind that entity to these Terms, and in that case "you" will refer to that entity.
2. Description of Service
PatchPost provides tools to create, edit, and synchronize changelog entries across multiple platforms: a web dashboard, a Discord bot (within your Discord server), and a REST API. This bi-directional sync means that changes made via one interface (for example, adding a changelog entry on the web portal) will reflect on the other (such as an update posted by the Discord bot in your server’s channel), and vice versa. The Service enables you to:
- Compose and manage changelog posts through a web application.
- Use the PatchPost Discord bot (via slash commands and modals) to create or update changelog entries directly within Discord.
- Automatically post and update those changelog entries in designated Discord channels, keeping your community informed.
- Optionally use a public API to fetch or display recent changelog entries externally (for example, on a website or other client), if enabled.
By providing these tools, our goal is to keep everything in sync across all channels for your convenience. Please note: PatchPost is not an official Discord product, and it is not affiliated with or endorsed by Discord Inc. (See Section 11 on Third-Party Services and the Legal Notice below for more on this). Your use of Discord’s platform is governed by Discord’s own terms and policies, and you agree to follow Discord’s rules when using PatchPost within their platform.
3. Acceptable Use and User Conduct
We strive to maintain a positive, secure environment for all PatchPost users and the Discord communities they serve. By using the Service, you agree NOT to engage in any of the following prohibited activities:
- Illegal or Harmful Activities: Do not use PatchPost for any unlawful purposes or to promote illegal activities. This includes (but is not limited to) posting content that is defamatory; incites violence or hatred; or violates any applicable law or regulation. You also must not use the Service to distribute malware, viruses, or any harmful code.
- Harassment and Abuse: Do not harass, bully, threaten, or impersonate others. You may not use PatchPost to stalk or target others for abuse, nor to encourage others to do so. Hate speech, extremist content, or any content that is excessively violent, pornographic, or otherwise objectionable is strictly forbidden on our Service.
- Misuse of the PatchPost Ecosystem: Do not attempt to interfere with the proper working of PatchPost or any related systems. This means you must not try to hack, DDOS, gain unauthorized access to, or disrupt the Service or any servers or networks used by the Service. Additionally, you agree not to misuse our API or bot by automating requests in a way that burdens the system, scraping data in an unauthorized manner, or circumventing any rate limits or security measures we have in place.
- Unauthorized Access: Do not access or attempt to access accounts or data that do not belong to you. You should only use PatchPost with Discord accounts you own or are authorized to use. Never share your Discord OAuth tokens, API keys, or any login credentials for PatchPost with unauthorized persons, and do not use someone else’s credentials or keys.
- Spam and Advertising: PatchPost is for changelogs and update announcements relevant to your community or project. You agree not to use the Service to send spam, unsolicited bulk messages, pyramid schemes, phishing content, or any form of unwanted solicitation or commercial advertising not related to legitimate changelog updates for your community.
- Ecosystem Integrity: Do not misuse any part of PatchPost’s ecosystem (web portal, bot, API) in a manner that could negatively impact other users or the overall platform. This includes refraining from any activity that could overload or crash any component of the Service, deploying automated bots not approved by us to control PatchPost, or using PatchPost in a manner that violates Discord’s own Terms of Service or Community Guidelines.
If you violate the above rules or otherwise endanger the PatchPost ecosystem or its users, we reserve the right to suspend or terminate your access to the Service (including removing the PatchPost bot from your Discord server or disabling your account) at our discretion. We also reserve the right to remove or un-sync any content that violates these Terms or that we deem inappropriate. In serious cases, we may report misuse to relevant authorities or to Discord’s trust and safety team (for example, if your usage violates Discord’s rules or involves unlawful content).
4. User Content and Content Rights
Your Content: PatchPost allows you to create and manage content in the form of changelog entries, which may include text, images, and other media (“User Content”). You retain all ownership rights to the original content you create and post using our Service. We do not claim ownership of your User Content. However, by using PatchPost to publish or store content, you grant us a limited license to use, reproduce, display, modify (e.g., format or truncate), and transmit your content as necessary to operate the Service. This license is non-exclusive, worldwide, royalty-free, and sublicensable only as needed to provide the Service (for example, to sub-processors like cloud hosting services, or to display the content via our API and Discord bot). Its sole purpose is to allow us to synchronize and present your changelogs across the web portal, Discord, and any other platforms you connect. This license ends when you delete the content from our systems, except to the extent that it has been shared with others through the Service and they have not deleted it (for instance, content already posted by the PatchPost bot into a Discord channel or fetched via the public API might remain in those external locations).
Your Responsibilities for Content: You are solely responsible for all content you create, post, upload, or otherwise make available through PatchPost. This means:
- You must ensure that your User Content (including any images or attachments) does not violate any laws or rights of others. Do not upload content that you do not have the rights or permissions to use. For example, do not post copyrighted material (text, images, code, etc.) unless you own it or have the legal right to use it in this context.
- Content that is illegal, defamatory, infringing, hateful, abusive, or otherwise violates our Acceptable Use policy (Section 3 above) is strictly prohibited. You agree that you will not use PatchPost to store or disseminate any such material.
- If your content includes personal data of individuals (e.g., mentioning someone’s real name, contact, or other personal information), you must have the right to share that data and do so in compliance with applicable privacy laws. (See our Privacy Policy for how we handle personal data on our end.)
We do not pre-screen content, but we reserve the right (but not the obligation) to review, remove, or disable any User Content on PatchPost at our discretion, particularly if we believe it violates these Terms or applicable law, or upon receiving a valid complaint. However, the responsibility for content lies with you, not us. NexCore is not liable for any user-generated content; we do not endorse or verify the accuracy of any content posted via the Service.
Content Posted to Discord: When PatchPost posts a changelog to a Discord channel on your behalf (via the PatchPost bot), that content becomes subject to Discord’s terms and policies as well. Even if you later delete or edit content via PatchPost, we will attempt to propagate those changes to Discord (e.g., edit or delete the Discord message), but we cannot guarantee complete removal if, for example, the bot has been removed or lost access, or if Discord’s API fails. Be mindful that content once posted to an external platform like Discord may remain accessible to others until removed from that platform. If you need assistance removing content that was posted through PatchPost, you can contact us for support (via our Discord support server or other contact methods in the Legal Notice).
Feedback: If you provide us with feedback, suggestions, or ideas about PatchPost ("Feedback"), you acknowledge that this Feedback is given voluntarily and we are free to use it without obligation or compensation to you. Any improvements or enhancements resulting from your Feedback are our property (and may be incorporated into the Service).
5. Intellectual Property Rights
Our IP: Unless otherwise indicated, all content and materials comprising the PatchPost Service—including but not limited to the software code, website design, logos, graphics, and the PatchPost name—are the intellectual property of NexCore or its licensors. They are protected by copyright, trademark, and other applicable intellectual property laws.
- The name “PatchPost” and the “NexCore” brand (including logos and any related trademarks or service marks) are owned by NexCore. You may not use our name, logos, or trademarks in any way without our prior written permission, except as necessary for legitimate use of the Service (such as identifying that your changelog is powered by PatchPost).
- The PatchPost software is released as an open-source project on GitHub. Portions of the code may be provided under an open-source license (such as MIT); however, your use of the hosted PatchPost Service is governed by these Terms of Service, not the open-source license. The open-source license applies to the code for developers who wish to self-host or contribute, but it does not entitle you to violate these Terms on our hosted Service. For example, you are not permitted to use our hosted Service to execute unapproved modifications that compromise security or violate usage rules.
Third-Party IP: We respect the intellectual property rights of others and expect our users to do the same. You must not use PatchPost to share content that infringes others’ copyrights, trademarks, or other IP rights. If we receive a proper notice of alleged infringement (e.g., a DMCA notice or a UK copyright infringement notice) related to content you have posted, we may remove or disable access to the allegedly infringing content. Repeat infringers’ access to the Service may be terminated. (See the Legal Notice section for how to report IP infringement).
6. Privacy and Data Protection
Your privacy is important to us. Our collection and use of personal information through PatchPost is described in detail in our Privacy Policy (see below). By using the Service, you agree that we can collect, use, and share your information as outlined in the Privacy Policy. Key points include:
- We primarily collect information through your Discord login (such as your Discord user ID, username, and guild memberships) and through your use of the Service (e.g. changelog content, usage logs).
- We use this information to provide and improve the Service – for example, to authenticate you, to know which Discord servers you manage, to post your changelogs to the correct server, and to troubleshoot issues.
- We do not sell your personal data to third parties. We share data only as needed to operate the Service (for instance, with Discord’s API to deliver messages, or with cloud service providers for hosting).
- We take steps to secure your data, but no service is 100% secure. You are responsible for keeping your account credentials (Discord account, API keys) safe.
- If you have questions or requests regarding your personal data, you can contact us as described in the Privacy Policy (via our support Discord or email).
Please review the Privacy Policy for full details. If you do not agree with how we handle your data as described, you should discontinue use of the Service.
7. Third-Party Services and Links
PatchPost integrates with Discord’s services and possibly other third-party platforms in the future. When you use PatchPost, you are also subject to the terms and conditions of Discord (and any other third-party service we integrate with). For example, your use of the PatchPost Discord bot is also governed by Discord’s Terms of Service, Community Guidelines, and Privacy Policy. We have no control over Discord’s services or any other third-party platforms, and we do not assume liability for their actions or policies. If Discord or another platform suspends or bans your account or content due to activities through PatchPost, we are not responsible for such action (though we encourage you to follow all rules to avoid this outcome).
Our website or documentation may also contain links to third-party websites or resources (for example, links to guides, or our GitHub repository). These links are provided for convenience only. We do not endorse and are not responsible for third-party content, advertising, products, or other materials on or available from those sites. If you choose to visit or rely on any third-party sites, you do so at your own risk, and those sites’ terms and policies will apply to you.
8. Billing and Payment
- Premium Plans: Some PatchPost features are offered on a paid subscription basis. Prices and plan details are shown on the billing page and may change over time.
- Payment Processor: Payments are handled by Stripe. By submitting your payment information, you authorize us and Stripe to charge your selected payment method for the applicable fees. We do not store full card numbers; Stripe processes them on our behalf.
- Renewals and Cancellation: Subscriptions renew automatically until cancelled. You can cancel at any time via the billing page; your premium access remains until the end of the current billing period. We do not issue refunds for partial periods except where required by law.
- Failed Payments: If a payment fails or a subscription expires, premium features may be suspended until the issue is resolved.
9. Suspension and Termination
By You: You may stop using PatchPost at any time. If you no longer want PatchPost to have access to your Discord server or data, you can remove the PatchPost bot from your Discord guild and cease using the web portal or API. If you wish to permanently delete your PatchPost account or any personal data we have collected, you can contact us with a deletion request (see Privacy Policy for data deletion). Keep in mind that removing the bot or logging out does not automatically delete content that was already posted to Discord or stored in our system – you should delete any changelog entries you no longer want, and/or request data deletion separately.
By Us: We reserve the right to suspend or terminate your access to PatchPost (or any part of the Service) at any time, with or without notice, if: (a) we have reason to believe you have violated these Terms (or any applicable law) or misused the Service; (b) your use of PatchPost causes security, legal, or integrity concerns; (c) we discontinue the Service or experience unexpected technical or security issues; or (d) for any other reason in our discretion. We will generally try to provide a notice or explanation to you (for example, via Discord or email) if we suspend or terminate your access, but in urgent cases we may do so immediately to protect the Service and others.
If your access is terminated by us, you agree not to attempt to circumvent that termination (for example, by using another account to access the Service). If you believe your access was wrongfully suspended or terminated, you may contact us to discuss the issue. Upon termination, the rights and licenses granted to you under these Terms will end, and we may delete or deactivate your PatchPost-related data (though we may retain certain information as required by law or as outlined in our Privacy Policy). Sections of these Terms that by their nature should survive termination (such as indemnity, disclaimers, and limitations of liability) will continue to apply.
10. Disclaimers of Warranties
Use at Your Own Risk: PatchPost is provided on an "as is" and "as available" basis. While we strive to provide a great and reliable service, we make no warranties or guarantees that PatchPost will always be safe, secure, bug-free, or function without disruptions, delays, or imperfections. To the fullest extent permitted by law, NexCore disclaims all warranties and conditions, whether express or implied, including any implied warranties of merchantability, satisfactory quality, fitness for a particular purpose, non-infringement, and any warranties arising out of course of dealing or usage of trade.
In particular, we do not warrant that:
- The Service will meet your specific requirements or expectations;
- The Service will be uninterrupted, timely, secure, or error-free;
- The information or results obtained from the use of the Service will be accurate or reliable;
- Any errors or defects in the operation of the Service will be corrected.
No Responsibility for User Actions: You understand that PatchPost involves integration with Discord and relies on user-provided content and actions. We are not responsible for the behavior of any user or third party, and we are not responsible for what you or others post via PatchPost. We do not guarantee the prevention of misuse or unauthorized access by others. You should always be cautious about the information you choose to share and the content you publish.
Beta Service Acknowledgment: (If applicable) You acknowledge that PatchPost is in active development and may be released as a beta or early-access service. As such, the Service might contain bugs or incomplete features. You agree to use it with that understanding and that we are not liable for any issues arising from its early-stage nature, including potential data loss or unexpected behavior. We welcome feedback but provide no guarantee that any specific issue will be resolved in a given timeframe.
Some jurisdictions do not allow the exclusion of certain warranties, so some of the above disclaimers may not fully apply to you. However, in such cases, our warranties will be limited to the maximum extent permitted by applicable law.
11. Limitation of Liability
To the fullest extent permitted by applicable law, NexCore and its affiliates, officers, employees, agents, partners, and licensors shall not be liable for any indirect, incidental, special, consequential, or exemplary damages, or any loss of profits, revenues, data, goodwill, or other intangible losses, resulting from: (a) your use of (or inability to use) PatchPost; (b) any content obtained from the Service (including user-generated content) or any reliance on such content; (c) unauthorized access to or alterations of your transmissions or data; (d) statements or conduct of any third party using the Service (including actions taken by the PatchPost Discord bot in your server per your instructions); or (e) any other matter relating to the Service.
In no event shall our total liability for all claims relating to the Service exceed the amount you paid us (if any) for the last twelve months of the Service in question, or £60 GBP, whichever is greater. (If you have not paid any amount—for example, if you are using the free version of PatchPost—our total liability shall be £0, aside from what cannot be disclaimed by law.)
Exceptions: Nothing in these Terms shall limit or exclude our liability for gross negligence, intentional misconduct, fraud, or any other liability that cannot be excluded under law. In particular, if you are a consumer in the UK, we do not exclude or limit liability for: (i) death or personal injury caused by our negligence, or (ii) fraud or fraudulent misrepresentation. Your statutory rights are not affected by this limitation of liability.
You acknowledge and agree that the limitations of liability above are a fundamental part of this agreement, and without them, the Service would not be provided to you on the same terms.
12. Indemnification
You agree to indemnify, defend, and hold harmless NexCore, its owner/proprietor, and any affiliates, officers, employees, and agents, from and against any and all claims, liabilities, damages, losses, and expenses (including reasonable legal fees) that arise from or relate to: (a) your use or misuse of PatchPost; (b) your violation of these Terms or of any law or regulation; (c) your violation of any rights of a third party (for example, posting content that infringes someone’s intellectual property or privacy rights); or (d) any content that you submit or transmit through the Service. We reserve the right to assume the exclusive defense and control of any matter otherwise subject to indemnification by you (at your expense), and you agree to cooperate with our defense of such claim. You agree not to settle any such matter without the prior written consent of NexCore. This indemnification obligation will survive any termination of your account or of the Service.
13. Changes to These Terms
We may revise or update these Terms of Service from time to time. When we make material changes, we will notify users by posting the updated Terms on our website (and updating the "Last Updated" date above). In some cases, we might also provide additional notice, such as a notification in the PatchPost portal or an announcement via our Discord or other channels. Continued use of the Service after updated Terms become effective constitutes your acceptance of the changes. If you do not agree to the revised Terms, you must stop using PatchPost before the changes take effect and (if applicable) disconnect the PatchPost bot and remove any integrated services. It’s your responsibility to review the Terms periodically for updates.
14. Governing Law and Dispute Resolution
These Terms are governed by and construed in accordance with the laws of England and Wales, without regard to its conflict of law principles. You and NexCore agree that any disputes or claims arising out of or related to the Service or these Terms will be subject to the exclusive jurisdiction of the courts of England and Wales, unless applicable law in your country of residence requires otherwise. If you are a consumer residing outside of England, you may also be entitled to bring claims in your local courts under applicable consumer protection laws.
If any dispute arises, we encourage you to contact us first to attempt to resolve the issue informally. We value our users and will try to address concerns in good faith.
15. Miscellaneous
- Entire Agreement: These Terms (along with the Privacy Policy and any additional guidelines or policies we provide) constitute the entire agreement between you and NexCore regarding your use of PatchPost. They supersede any prior agreements or communications (whether oral or written) relating to the subject matter.
- Severability: If any provision of these Terms is held to be invalid or unenforceable by a court of competent jurisdiction, that provision will be enforced to the maximum extent permissible and the remaining provisions of these Terms will remain in full force and effect.
- No Waiver: Our failure to enforce any right or provision of these Terms will not be considered a waiver of that right or provision. Any waiver must be in writing and signed by us to be effective.
- Assignment: You may not assign or transfer these Terms or any rights or obligations herein without our prior written consent. We may assign or transfer our rights and obligations under these Terms to an affiliate or in connection with a merger, acquisition, reorganization, or sale of assets, or by operation of law or otherwise. These Terms will bind and inure to the benefit of the parties, their successors, and permitted assigns.
- No Third-Party Beneficiaries: These Terms do not confer any rights or remedies on any third party, except as expressly provided.
- Relationship of Parties: Nothing in these Terms creates a joint venture, partnership, employment, or agency relationship between you and us. You are using the Service as an independent end-user.
